Clients relied on email threads and disconnected tools to track project updates, payments, and deliverables. This created communication delays, reduced transparency, and increased administrative effort for both clients and internal teams.
Solution
We built a centralized client portal that provides real time project tracking, payment visibility, and structured communication workflows. This improved collaboration transparency and strengthened long term client relationships by simplifying engagement throughout development.
This one was ours. We were running client projects the way most agencies do, which is to say through email, a project tool clients did not have access to, and a steady stream of status update requests that interrupted whoever was closest.
The pattern was consistent enough to be embarrassing. A client would go quiet for a week, then send a message asking where things stood, and a project manager would spend forty minutes assembling an answer from three systems. Multiply that across a portfolio and it is most of a role.
Payments had the same shape. Invoices went out by email, sat in an inbox, and got chased twice before anyone paid. Nobody was being difficult. There was simply no place a client could go to see what was owed, what had been delivered, and what was waiting on them, so everything required a person in the middle.
The invoice figure was the surprise. Cutting payment time from 34 days to 12 was not a project goal, and it happened simply because clients could see what they owed alongside what they had received.
The nine hours a week returned to project managers went into delivery rather than headcount. The change request flow also ended a recurring commercial problem, since scope conversations now happen before work starts rather than at invoicing.
A client-facing project view showing current phase, completed milestones, what is in progress and what is blocked on the client, updated from the internal project system rather than maintained separately.
Deliverables are posted for review with structured approval, versioning and comments attached to the item rather than living in an email thread.
Invoices, payment history and outstanding balances sit in the same place, with payment taken inline.
Beyond that: a shared document space with permissions, a change request flow that captures scope impact and cost before work starts, threaded messaging attached to project areas, and a notification model that tells a client when something needs them rather than every time anything moves.
